Job Title: 
Front Desk

Summary:  
The Front Desk is responsible for providing excellent customer service and administrative support to ensure the smooth operation of the office. This role involves greeting patients, scheduling appointments, managing patient records, and handling inquiries both in person and over the phone. The Front Desk will also assist with billing and insurance processing, ensuring a positive experience for all patients.

Duties and Responsibilities 
The essential functions include, but are not limited to the following:

  • Fill-in and assist office staff when needed
  • Assist in executing company events including, but not limited to, holiday parties, sales, fundraisers, team building events, celebrations, etc.
  • Manage patient charts and Maintain filing system
  • Support contact lens sales, order, inventory
  • Sort/deliver mail and packages
  • Update list of insurance companies and contacts
  • Data processing
  • Maintain front desk statistical reports
  • Maintain general office appearance, cleaning, vacuuming
  • Answer telephone and handle front desk calls/redirect other calls.
  • Manage faxes and referrals
  • Schedule appointments/fill openings/confirm appointments
  • Customer service - Greet patients and educate patients and potential patients
  • Coordinate office flow - track patients from entry to departure
  • Process patient forms
  • Figure and post fees and payments
  • Answer patients' questions about billing and insurance
  • Balance day sheet
  • Balance ledgers to A/R
  • Complete and submit insurance claims for office services
  • Reconcile insurance EOB’s
  • Call insurance companies to track claims
  • Call insurance companies to inquire about denied claims
  • Notify patients of materials ready for dispensing
  • Maintain inventory and stock products as necessary
  • Maintain social media communication in accordance with the social media policy
  • Present & implement payment plans

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • High School Diploma or equivalent
  • Previous experience in retail or customer service preferred
  • Excellent interpersonal and communication skills
  • Ability to work effectively in a fast-paced team environment
  • Proficiency in using electronic health records (EHR) systems
  • Basic knowledge of eyewear and optical products is a plus
  • Ability to multitask-excellent organizational skills
